Why Waste Management and Minimisation Matters
All events generate some form of waste - whether food wrappers, drink containers, or promotional materials. Without a clear plan, waste can negatively impact:
- The environment (e.g. litter spreading beyond your site)
- Visitor experience (overflowing bins, unclean areas)
- Community perception (your event’s environmental reputation)
- Local services (putting pressure on public bins and council collection systems)
Council Expectations
While public bins may be available near your site, Hutt City Council expects all event organisers to provide their own waste collection and removal systems. This includes:
- Providing bins for rubbish, recycling, and where relevant, compost
- Ensuring timely removal of waste from the site (before, during, and after the event)
Larger events with more than 1,000 visitors
If you’re running an event with more than 1,000 people, you must submit an event waste minimisation plan to the Council for approval at least 30 working days prior to the event, along with a waste analysis report on completion of the event. Planning Your Waste Minimisation Strategy
Here are key steps to consider:
1. Assess Your Waste
- What types of waste will be generated (e.g. food, drinks, paper, packaging)?
- Which vendors or stalls will produce waste?
- Will alcohol be served, requiring glass collection?
2. Set Up Waste Stations
- Place bins in high-traffic areas (entrances, food zones, exits)
- Use clear signage and colour-coded bins to separate rubbish, recycling, and compost
- Supervise bin stations we encourage volunteers to help with sorting your waste to reduce recycling contamination
3. Work with Contractors
- Contract waste management services who can:
- Provide appropriate bins
- Collect sorted materials
- Confirm disposal destinations (recycling vs landfill)
Tips for Greener Events
- Use compostable or recyclable packaging for food and drinks
- Ban single-use plastic where possible
- Promote waste-free principles to vendors and participants
- Encourage BYO bottles or cups, with refilling stations
- Consider running a ‘Zero Waste’ campaign for your event (Less waste = less landfill fees!)
- Engage event waste professionals to design waste plans, sort materials, and minimise landfill for your event.
After the Event
- Ensure all waste is removed from the site promptly
- Document what worked and what didn’t for future improvements
- Share your sustainability achievements with your audience
